Common area damage differs from damage to a single dwelling in one important respect: it affects property that no individual owner has exclusive authority to document or repair, which places the responsibility for a thorough record on the association itself. After a wind or hail event, boards and property managers are generally well served by walking the entire property systematically, building by building, rather than relying on scattered reports from individual owners who may only notice damage visible from their own unit or parking spot.
Photographing damage with reference points helps later reviewers understand scale and location. A photograph of hail impacts on a gutter section means more when it includes a wide shot showing which building and elevation it came from, along with a closer image showing the specific damage, than a single close-up with no context. Dating photographs, either through the camera’s embedded metadata or a written log noting when and where each image was taken, becomes important months later when an appraiser or adjuster is trying to reconstruct the condition of the property shortly after the loss.
Distinguishing common elements from limited common elements matters because governing documents often assign maintenance and insurance responsibility differently between the two. A roof over the entire building is typically a common element maintained by the association, while a patio or balcony attached to a single unit might be a limited common element with a different allocation of responsibility spelled out in the declaration. Associations that document damage by category, common element versus limited common element versus items clearly belonging to an individual unit, produce a record that is easier to reconcile against the policy’s coverage structure later in the process.
Beyond photographs, a written inventory noting the extent of damage on each building, such as the number of damaged roof squares, linear feet of affected siding or fascia, or the count of impacted window screens, gives the claim a level of detail that photographs alone do not fully capture. Some associations use a simple spreadsheet organized by building and component, updated as inspections proceed, which becomes a working document the board, the property manager, and any appraiser can all reference consistently. Recording the direction each building elevation faces can also matter, since hail and wind-driven damage frequently concentrates on a particular exposure, and noting this pattern building by building helps explain why some elevations show far more impact than others.
Timing matters as well. Storm damage such as granule loss on shingles or minor siding cracking can become harder to distinguish from ordinary weathering as time passes and additional weather events occur, so documentation completed soon after the loss tends to be more reliable than documentation attempted much later. Associations that keep a designated person or committee responsible for post-storm walkthroughs, rather than leaving documentation to happen informally, generally end up with a more complete and more useful record when the claim moves toward valuation. This is particularly true in Minnesota, where a hail event in one month can be followed by additional wind or hail activity later in the same season, making it harder to attribute specific damage to a specific date without records created close to the time it occurred.
